The checks still happen on your day off
A pack only its owner can fill in is a pack with a gap every time the owner is not there, and the gaps are always the same days: the Tuesday off, the week away, the shift somebody else covered. Share it with the people actually in the kitchen and the records follow the rota rather than you.
Free to use. No ads, no paywalls.
Invite the people who work there and they can keep the daily diary and the checklists on the days they are on. The pack stops depending on one person being in the building.
The gap a single login leaves
Think about which days are missing from a paper pack when an inspector flicks through it. They are rarely random. They are the days the person who keeps it was not on: a holiday, a Sunday, the week of a family thing. A pack kept by one person is a record of that person’s attendance as much as of the kitchen.
That is also the version an officer notices, because a fortnight of nothing in August reads exactly like what it is. Sharing the pack is the cheapest fix available: the checks were being done anyway by whoever was on shift, and this is what lets them write it down.

The entries still say who made them
Shared does not mean anonymous. A fridge temperature and a completed checklist carry the name of the person who entered them; a signed safe method carries their initials, which is what the FSA’s own form asks for. Either way the printed pack shows who did it, in the place the form puts it.
Which is the part that makes a shared pack better evidence rather than worse. "Somebody checked the fridges" is an assertion; "Priya checked the fridges at 17:40" is a record. It also means you can see at a glance who is keeping it up and who needs reminding, without asking anybody.
A team belongs to a kitchen, not to you
Invites are per business, so somebody you invite to one site has that site. A chef who works across two of your kitchens is invited to both, and a manager at one is not quietly given the other.
If you run several places, running more than one establishment covers how the packs stay separate.
Questions
What can a team member do?
Keep the diary and the checklists for the site they were invited to, which is the part that has to happen every day.
Does it cost anything to add staff?
No. The app is free with no paid tier, and that does not change with the size of your team.
Can I see who filled something in?
Yes, where it was recorded: a name on the diary and checklist entries, initials on a signed safe method, both on the printed pack and in the app.
Can one person be on the team at two of my sites?
Yes. Invite them to each site they work at, because access follows the kitchen rather than the person.
